Who we are

Caledon Floors Inc. ("Caledon", "we", "us") is a flooring company based in Vancouver, British Columbia. We sell our floors through independent flooring dealers. We do not sell directly to the public, and our website does not take orders or payments.

This policy explains what personal information we collect through caledonfloors.com, our chat, our forms and our emails, how we use it, who we share it with, and the choices you have. We follow British Columbia's Personal Information Protection Act and, where information crosses provincial or national borders, Canada's Personal Information Protection and Electronic Documents Act.

What we collect and how

We collect only what we need to answer you and run our business.

When you fill in a form on our website:

  • Contact form and the "Don't see one near you?" form on our Find a Dealer page: your name, email, phone number if you give it, your city or region, the kind of customer you are (for example homeowner, builder or designer), and your message.
  • Caledon Pro "Price my project" form: your name, company, email, phone, the flooring you are interested in, the approximate square footage, when you need it, the project city, and the Caledon dealer you already work with, if any.

When you use our chat: your name, your phone number, your question, and the conversation that follows.

When you email or call us: your contact details and whatever you choose to tell us.

When you sign in to our partner portal: your name and email address. Partner accounts are for dealers and trade partners and are created only by invitation from Caledon.

When you visit our website: technical information such as your IP address, browser and device type, the pages you view and how you arrived. This is collected automatically by cookies and similar tools. See "Cookies and tracking" below.

From public sources: for our builder and trade program, we may collect business contact details that a business has published, such as on its own website or in a business directory.

Why we use it

  • To answer your question or quote request.
  • To share your project with a Caledon dealer we select to supply and look after it.
  • To run the partner portal for dealers and trade partners.
  • To send you information about our products and programs, where you have agreed to receive it or the law otherwise allows it. See "Marketing email" below.
  • To understand how people use our website and improve it.
  • To measure our advertising.
  • To keep our website and forms secure and free of spam.
  • To meet our legal and accounting obligations.

We do not sell or rent your personal information.

Who we share it with

A Caledon dealer we select. We sell only through dealers. If you ask us about a project, we may share your contact details and project information with a Caledon dealer we select to supply and look after your project.

Service providers. We use trusted companies to run our website, forms, chat and email. They handle your information only to provide their service to us. They are listed in the next section.

Legal reasons. We may disclose information if the law requires it, or to protect our rights, our customers or the public.

If our business is sold or reorganized, personal information may be transferred to the new owner, who must continue to protect it.

Our service providers, and storage outside Canada

Some of our service providers store or process information outside Canada, mainly in the United States. While it is there, it is subject to the laws of that country, and authorities there may be able to access it.

  • Shopify: hosts our website, contact forms and partner accounts. Based in Canada; information may be processed in Canada, the United States and other countries.
  • HighLevel (LeadConnector): our customer relationship system, the Caledon Pro form, our website chat and our email campaigns. United States.
  • Mailgun: the email service used by HighLevel, which delivers our marketing and program emails and receives replies to them. United States.
  • Google Workspace: our company email, including messages from our website contact forms. United States and other countries.
  • Pinterest: advertising measurement through the Pinterest tag on our website. United States.
  • Cloudflare: checks that form submissions come from a real person, not a bot. United States.
  • OpenStreetMap: provides the map on our Find a Dealer page. Your browser requests map images directly from OpenStreetMap, which receives your IP address. United Kingdom, served through a global network.
  • Google Fonts, Bunny Fonts and unpkg: deliver fonts and the map code to your browser and receive your IP address when they do. United States, and the European Union for Bunny Fonts.

Marketing email

We send emails about our products and programs, such as Caledon Pro for builders, to:

  • people who have asked to hear from us, and
  • businesses whose contact details are publicly listed, where the message is relevant to their business, as Canada's Anti-Spam Legislation allows.

Every marketing email says who it is from, includes our mailing address, and has an unsubscribe link. If you unsubscribe, we stop sending you marketing email, normally right away and always within 10 business days. You can also reply to any email or contact our Privacy Officer to unsubscribe.

We keep a record of your unsubscribe request so we do not email you again.

If you give us your mobile number in our chat and agree to receive texts, we may reply or follow up by text message. You can reply STOP to any text to opt out.

Cookies and tracking

Cookies are small files a website stores in your browser. We and our service providers use cookies and similar browser storage to:

  • make the website work, for example remembering your region settings (Shopify);
  • keep your chat conversation going from page to page (HighLevel chat);
  • count visits and see which pages are useful (Shopify analytics);
  • measure our advertising on Pinterest (the Pinterest tag, which sets a cookie called _pin_unauth).

We do not use Google Analytics.

Your choices:

  • You can block or delete cookies in your browser settings. Most of the website will still work, though some features, such as the chat, may not.
  • If you use Pinterest, you can turn off personalized ads in your Pinterest account settings.
  • You can also use your browser's privacy settings or a tracker blocker to stop these tools.

How we protect it

We use reputable service providers that are responsible for securing their systems. Our website and forms use encrypted connections (HTTPS), and access to personal information is limited to people who need it to do their job.

No method of storage or transmission is completely secure. If a breach of our safeguards creates a real risk of significant harm to you, we will notify you and report it as the law requires.

How long we keep it

We keep personal information only as long as we need it for the reasons above, or as long as the law requires.

  • Enquiries, quote requests and CRM records: 2 years after our last contact with you.
  • Chat conversations and emails: 2 years.
  • Partner portal accounts: while the account is active, plus 1 year.
  • Unsubscribe records: kept for as long as we send marketing email, so we never email you again by mistake.
  • Business and tax records: as long as the law requires.

When we no longer need information, we delete it or make it anonymous.

Your rights and choices

You can:

  • ask what personal information we hold about you, how we have used it, and who we have shared it with;
  • ask us to correct information that is wrong or incomplete;
  • withdraw your consent to us using your information, for example to stop marketing, with reasonable notice. If you withdraw consent, we may not be able to answer a request that depends on it.

Send your request to our Privacy Officer (details below). We may need to confirm your identity first. We will respond within the time the law requires, normally within 30 days, and tell you if we need more time or cannot provide something and why.

We may update this policy when our practices or the law change. We will post the new version on this page with a new effective date. If a change is significant, we will make it clear on our website.
